At Talent Mesh Pte. Ltd. we care about the safety of your data. Consequently, we process your data in accordance with the principles of GDPR which is considered to provide the highest level of data safety:

  1. Lawfulness, fairness and transparency: Our data processing is transparent and complies with the data protection rules
  2. Purpose of limitation: When we collect your data, we make clear for which purpose the data is to be used and any subsequent treatment is never incompatible with these objectives
  3. Data minimization: Our processing, including the storage, of your data, is limited to what is necessary to achieve the purpose
  4. Accuracy: Information is always updated, and incorrect data is either deleted or rectified
  5. Storage limitation: When data no longer needs to be processed, we anonymize or delete it

We process data in order to provide the services that you have signed up for.

Personal data regarding recruiters are processed for the purpose of fulfilling our agreement and provide the services you have signed up for, see article 6(1)(b) of the GDPR.

Storage period

As a general rule personal data are deleted after account deletion - unless longer storage is necessary to comply with applicable law, or if the information is necessary for a claim.

In some instances, your personal data is passed on to third party service providers for the purpose of managing and/or administering our platform, or for the purpose of data hosting, storage and/or backup.

By using our services, you accept and acknowledge our use of such third party service providers for purposes that may include, but are not limited to, the collection, processing, analysis and recording of your activities.

Microsoft Ireland Operations Ltd. provides hosting of our website (through Microsoft AZURE). They further provide Outlook which we in some instances use to communicate with you.

Stripe Payments Europe Limited provides our payment system.

AUTH0 Inc provides our authentication and authorization platform.

Google LLC provides geographical location services.

Certain analysis data will be disclosed to Google, Meta and LinkedIn, if you have consented to statistics and marketing cookies. This also appears from the cookie which popped up when you first visited our website and is also described in our cookie policy.

Purpose

We process data to provide recruiters with sufficient data about you. This is necessary for to be considered by the recruiter for their job opening.

Categories of personal data

Identification information, including IP address, interests, contact information, personality tests, picture of you taking the test.

Legal basis for processing (only relates to personal data on EU and EØS citizens)

Personal data regarding candidates are processed based on our legitimate interests in accordance with article 6(1)(f) of the GDPR. Our legitimate interest consists in the fact that the candidate, has independently chosen to use our platform to gain access to and apply for a position, and it is necessary for us to process the data in order to let the recruiter consider the candidate for the position.

The picture is taken for the purpose of verifying the identification of the person taking the test. The picture will be deleted immediately after the recruitment process. Therefore, it is our assessment that this can be processed on the basis of GDPR art. 6 (1)(f).

Storage period

Personal data are fully anonymised after the job posting expires.

Anonymisation is done by deleting names, contact information and IP addresses so that no physical person can be connected to the test results which are stored.

The picture taken of the candidate during the personality test is deleted immediately after the recruitment process is over.

We use Google Analytics 4, and data at user and event level are anonymized according to the strictest possible settings (https://support.google.com/analytics/answer/7667196?hl=en), i.e., currently two months.

Furthermore, analysis data in personally identifiable form are stored only to a limited extent and for a limited time only, as the data are automatically aggregated (anonymized) when statistics are generated.

We also use an external supplier (HubSpot) for marketing purposes. In this connection, your contact information is left to HubSpot Inc, which in this context acts as data processors.

Purpose

Your data are processed for the purpose of performing our agreement with you on distributing our newsletter.

We disclose your e-mail address or telephone number to Meta Ireland Ltd. or LinkedIn Ireland Unlimited Company located in Ireland in a format which is not readable (one-way encrypted) for the purpose of targeting our marketing efforts on those media at others with the same interests or profile as yours.

Contact information, including e-mail address, name, the name of the company you work for and telephone number.

Legal basis for processing (only relates to personal data on EU and EØS citizens)

The data are processed for the purpose of performing our agreement with you on distributing our newsletter, see article 6(1)(b) of the GDPR.

We disclose your e-mail address or telephone number to Meta Ireland Ltd. or LinkedIn Ireland Unlimited Company located in Ireland based on our legitimate interest in marketing our services, see article 6(1)(f) of the GDPR, because the data are one-way encrypted prior to disclosure, because the data are not used for direct electronic marketing and because you can opt out of those functions with the media here: Facebook / LinkedIn (under “Third-party data”).

Storage period

We erase your data when you unsubscribe from our newsletter or if we have not sent you any newsletters for an uninterrupted period of more than 12 months.

We keep documentation that you have withdrawn your consent for up to 2 years after the consent has been withdrawn, in order to be able to defend us against any claims made for violation of applicable consumer protection regulation.

We use an external supplier, Twillio (SendGrid), for the purpose of collecting consent and sending out newsletters. In this connection, your contact information is left to Twilio Inc, which in this context acts as data processors.

Twilio transfers data to the US which is an unsafe third country. However, standard contractual clauses have been entered into and special safety precautions are in place. It is our assessment that Twilio’s cross boarder data transfer mechanisms provides for an adequate level of protection of the rights and freedoms of the data subjects.

Purpose

The purpose for processing data in this regard is to be able to assess the applicants as well as being able to contact them.

Identification and contact information, information provided in applications, CVs and related documents, e.g., diplomas, and other personal data relevant to the assessment of an applicant. We perform personality tests on our applicants. In this regard a snapshot picture will be taken of the applicant while taking the personality test. Furthermore, we collect publicly available information via the candidate’s social media, particularly Facebook and LinkedIn.

Personal data are processed based on our legitimate interests in accordance with article 6(1)(f) of the GDPR. Our legitimate interest consists in the fact that the applicant has independently chosen to apply for the position, and it is necessary for us to process the data in order to consider the applicant for the position.

Storage period

Unsolicited job applications and accompanying material will be deleted after they have been read or no later than 3 months from receipt, unless consent is obtained from the applicant for longer storage, e.g., in connection with future positions. Requested applications and accompanying material will be deleted after the recruitment round is completed or no later than 3 months after, unless consent is obtained for longer storage, e.g., in connection with future positions. It may be necessary to keep applications longer than 3 months if, based on the job interview, the correspondence with the applicant or other circumstances, there is a concrete or imminent risk that we will be met with a claim as a result of the application process, e.g., if an applicant might think that he or she has been rejected due to his or her age or health.

Personality tests are deleted after the recruitment process unless the applicant is hired. Then the personality test will be stored during the employment.

We use OneDrive for file storage and management. In this connection, your contact information is left to Microsoft Ireland Operations Ltd, which in this context acts as data processors.

Your individual rights

You have the rights as described below which you can exercise by contacting us at the above contact information. Your request will be answered free of charge, as soon as possible and no later than one month after receipt, however, up to two months if necessary due to the complexity or number of the request. In the event of unfounded or excessive requests, we have the right to reject it or charge a reasonable fee for answering it.
